Administrative Assistant

The Administrative Assistant will work independently to prioritize administrative tasks in the Fixed Income Group by working with the team’s senior professionals and other TCW teams to support departmental efforts. The Administrative Assistant will assist with coordinating travel arrangements, organize meetings, managing schedules, and undertaking basic reporting tasks. In addition, the Administrative Assistant will provide assistance and back-up to the Fixed Income Materials Group which coordinates all client presentations.

Overview:

The Administrative Assistant will work independently to prioritize administrative tasks in the Fixed Income Group by working with the team’s senior professionals and other TCW teams to support departmental efforts. The Administrative Assistant will assist with coordinating travel arrangements, organize meetings, managing schedules, and undertaking basic reporting tasks. In addition, the Administrative Assistant will provide assistance and back-up to the Fixed Income Materials Group which coordinates all client presentations.

The ideal candidate will be a team player, someone who can take directions, but is also proactive in seeking out solutions for potential problems and will, if necessary, insert themselves into any administrative responsibilities that come up. The position requires interface with internal staff at all levels and external parties with a high level of professionalism and adherence to confidentiality.  A basic understanding of the investment management industry is desirable.

 

Responsibilities:

  • Maintain calendar, schedule and coordinate meetings and conference calls, and track investment professional’s whereabouts
  • Assist the Fixed Income Materials group in completing all related administrative tasks for the process of coordinating client presentations. Generally, these tasks include but are not limited to: updating meeting logs, scheduling meeting rooms, liaising with other internal staff members such as remote marketing and client service colleagues and members of Communications Department to produce presentations
  • Assist portfolio management staff with travel arrangement, expense reimbursement and meeting coordination. Staff includes executive -level portfolio managers as well as assistant analysts
  • Provide backup coverage for other administrative assistants in the group as well as the Trade Room Assistant during breaks and vacations. (This will require flexibility to begin work at 5:30am a few weeks a year.)  Duties include but are not limited to: answering broker direct telephones and coordinating and disseminating online Morning reports
  • Perform other general administrative duties such as answering and screening incoming calls, responding to inquiries as directed, and preparing correspondence, documents, and spreadsheets

Minimum Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience with a minimum of two years of administrative experience
  • Strong organizational and time management skills and ability to prioritize
  • Demonstrated ability to multi-task with excellent attention to detail
  • Must be reliable, possess good judgment, and demonstrate proactive problem-solving skills
  • Professional demeanor with excellent communication and interpersonal skills
  • Strong computer and software skills including Microsoft Word, Excel, PowerPoint, and Outlook; Solid typing skills
  • Strong phone skills: ability to vet phone calls, direct calls to proper recipients, pick up phones quickly
  • Must adhere to strict confidentiality provisions
